Contacts

What it is for

A contact is a person the ministry knows: imported from Planning Center, created automatically when someone buys books, registers for an event or gives, or added by staff. Every purchase, registration, gift and campaign email is recorded on the contact, so you can see one person's whole history with EMAW.

A contact is not the same as an app account. If the person also uses the EMAW app, the two can be linked, but the app's private content (journal entries, answers) is never shown here.

Before you start

  • Access to Contacts (view, or edit to make changes). Your scope decides whether you see everyone, your region, your areas, or only contacts assigned to you.

Steps: find someone

  1. Open Contacts. Type a name or email in the search box.

  2. Narrow with the filter bar: group, tag, role, region, area, marketing status, source.

The contacts list with the filter bar open
  3. Click a row to open the contact.

The contact page

Steps: edit a contact

  1. On Profile click Edit, change the fields, Save.
  2. Changing the address re-geocodes the contact and may move it to a different region or area.

Steps: add a contact

  1. Contacts → New contact.

  2. Fill in at least a name and email or address. Save.

    The new contact form

Steps: bulk actions

  1. In the list, tick several contacts (or use the map's drawing tools to select by location).

  2. Choose Add to group, Add tag or Assign region/area.

    The bulk assign dialog

Large geography assignments run in the background; the list refreshes when done.

Steps: export

Click Export CSV on the list. The file contains the contacts matching the current filters. Handle it as personal data: do not email it around or leave it on a shared drive.

Tips and troubleshooting

  • Unsubscribe and Resubscribe on the Profile tab change the marketing status; unsubscribed contacts are skipped by campaigns automatically.
  • Deactivate hides a contact without deleting history.
  • Link to app user connects the contact to the person's EMAW account by email so their website purchases appear in their account.
  • Duplicate people usually come from different emails; merge is not available yet, so note the duplicate and keep the one with the fuller history.
