Events
What it is for
Create conferences, trainings and online meetings. Published events appear on the website automatically, registrations and payments come back here, and attendees become contacts with the event in their history.
Before you start
- Events access.
- For online events: connect your Google account once (Events → Connect Google) so meetings, invites and attendance work.
Steps: create and publish an event
-
Events → New event. Enter the name, dates, description, image and either a venue address (it is geocoded for the map) or Online.

Tickets: add one or more ticket types with price, capacity and sale dates (for example early-bird then regular). A free event has a free ticket.

Open registration and Publish. The event is now on the website's Conferences page.
-
For a recurring event (weekly online group), set the recurrence on the Details tab and manage each occurrence from the series.
Steps: registrations
-
Open the event → Registrations: everyone who registered, with payment status, guests and ticket type.
-
Resend confirmation for someone who lost the email. Export CSV for a printed list.

Steps: check-in at the door
-
Open the event → Attendees.
-
Search the person, click Check in. Undo if needed. Checked-in attendees can be added to a group afterwards (for example to email them a follow-up).

Steps: online events with Google Meet
-
With Google connected, saving an online event creates the Meet room and calendar invites; registered people receive the link.
-
After the meeting, Meet attendance shows who joined and for how long (it refreshes every half hour, or click Refresh).

Managing events
| Action | Effect |
|---|---|
| Close registration | Stops new registrations; the event stays visible |
| Unpublish | Removes it from the website |
| Archive | Hides it from the list; history is kept |
| Duplicate | Copy last year's event |
| Notify leader | Email the event leader with the current list |
Tips and troubleshooting
- Registrations only reach the contact's history after payment. A pending registration holds the seats briefly and then expires.
- Over capacity because of a late payment? Staff receive an email; decide whether to add seats or refund.
- Refunds are done in Stripe; the registration updates itself.
